Why choose Qutbi for your visa

A rejection stamp on your passport hurts for years. It sits on your record, it comes up in future applications, and the emotional cost of a "refused" is real. Our entire visa desk is built around one belief: a visa file should be treated like a small legal argument — what does the applicant want, what does the consulate need to be convinced of, and where is the weakness in the story?

That mindset is why our approval rate stays above 98%. It is also why we sometimes tell applicants not to apply yet — because sitting out a bad month can save five years of visa scars.

Visa types we handle

Tourist Visa

The most common visa we process — for holidays with family, honeymoons, sightseeing trips and short leisure travel. Every consulate defines "tourist" slightly differently. A Schengen tourist visa lets you stay up to 90 days across 26 European countries; a UK Standard Visitor visa gives you 6 months; a US B2 typically comes as a 10-year multiple entry with 180 days per visit. We match the right visa category to your travel plan and file it correctly.

Business Visa

For meetings, conferences, exhibitions, factory visits, contract negotiations, buyer meetings and short-term business assignments. Business visas typically require an invitation letter from the host company abroad, a covering letter from your Indian employer explaining the purpose and financials, and often exhibition registration or meeting agendas. We prepare all of it in the format the consulate expects.

Student Visa

USA F1/M1, UK Student, Canada Study Permit, Australia Subclass 500, Germany, France, Ireland, Netherlands, New Zealand, Dubai student visa. We assist with SOP writing guidance, financial documentation (GIC, education loan, sponsor affidavit, ITR of parents), CAS/I-20 verification and visa interview preparation. Not just filing — we prepare you to speak confidently in front of a visa officer.

Medical Visa

For treatment abroad — usually to hospitals in Thailand, Singapore, Turkey, Germany and the USA. We coordinate with the hospital's international patient desk to secure the invitation and treatment plan, prepare financial capacity documents and medical history, and file the medical visa. Medical attendant visas for accompanying family are filed alongside.

Work Visa

Employment-based visas — UAE work permits, Saudi work visas, Qatar, Oman, Bahrain, Kuwait, Singapore EP/S-Pass, USA H1B (support only, filed by employer), UK Skilled Worker, Canada Work Permit, Germany Blue Card, Australia Subclass 482. We handle the documentation and process guidance; the sponsoring employer typically initiates the case.

Transit Visa

Airport transits and short stopovers — most travellers don't need a transit visa if they stay airside, but some destinations (Canada, UK, Schengen for certain nationalities) require an Airport Transit Visa (ATV) even for a two-hour layover. We check your specific transit needs before you book flights.

Standard visa documentation checklist

Every visa is different, but the following core documents are almost universally required. We hand you a printed, personalised checklist for your specific destination on Day 1.

Our step-by-step visa process

01Consultation

Free 20-minute case review

We assess your profile, previous visa history, purpose of travel and destination requirements. If the case is weak, we tell you honestly before you spend on fees.

02Checklist

Personalised document checklist

Printed, tailored to your destination and your case. Not a generic list from Google.

03Preparation

Document collection & audit

We audit your bank statements, ITRs and letters. Weaknesses are flagged and, where possible, fixed before submission.

04Drafting

Cover letter & forms

Customised cover letter, correct visa category, filled forms — reviewed twice before submission.

05Appointment

VFS / BLS / consulate booking

We book your submission and biometrics slot at VFS/BLS Mumbai (or the appropriate centre) and provide directions.

06Interview

Mock interview (USA/UK/Canada)

For interview-based visas, we do a 30-45 minute mock — most common rejection reason on interviews is nervousness, not weak profile.

07Tracking

Post-submission follow-up

Daily tracking, follow-ups with the consulate where allowed, and passport pickup on your behalf.

08Delivered

Passport with visa in hand

We hand-deliver your stamped passport to your Nashik home / office, or courier to Pune, Mumbai and beyond.

Visa tips from our senior consultants

  1. Do not lie on your form. A single incorrect answer, even about a distant cousin, is grounds for rejection and a permanent record.
  2. Bank statements should breathe. A sudden large deposit right before applying looks worse than a small consistent balance.
  3. Ties to India matter more than money. Property, family responsibilities, ongoing employment, joint assets — these prove you will return.
  4. Book refundable flights for Schengen. Never buy tickets before the visa is stamped.
  5. Do not apply too early. Most consulates accept applications no earlier than 3 months before travel.
  6. Do not apply too late. Peak season Schengen applications from June-August can take up to 4 weeks.
  7. Answer interview questions briefly. Do not volunteer information the officer did not ask for.
  8. Carry insurance that names the country. Schengen insurance must specifically cover Schengen countries with €30,000 minimum.
  9. Sponsor cases need clean paperwork. Sponsor's ITR, bank statement, notarised affidavit and clear relationship proof.
  10. Never hide a previous rejection. Consulates share data. Address rejections directly with a fresh, stronger file.

Visa services for GCC-based Indians

If you live in the UAE, Saudi Arabia, Oman, Qatar, Bahrain or Kuwait, we still handle your family's visas in India — Schengen, UK, USA, Canada visas for your family back home, coordinated remotely through WhatsApp, video-call briefings and courier-based document transfer. We also handle GCC-issued visas (Emirates ID processes, family sponsorships) via our partner consultants.

Honest note on visa fees

Consulate/embassy fees are set by the destination country and are non-refundable in case of rejection — that's not us, that's the government. Our service fee is separate and clearly quoted. What we can control is the strength of your file — which is why we sometimes recommend waiting before applying.

Frequently asked questions

What is your visa approval rate?
98%+ across all destinations for the last three years. Rejections almost always involve documentation we were not told about upfront.
Can you guarantee my visa will be approved?
No ethical consultant can guarantee approval — visas are the sole prerogative of the destination country's immigration authority. What we guarantee is a properly prepared file, honest advice on your chances, and full support if reapplication is needed.
How much do you charge for visa services?
Service fees depend on the destination and complexity. For most e-visas (Dubai, Turkey, Thailand, Vietnam), our service fee is modest and quoted upfront. For consulate-based visas (Schengen, UK, USA, Canada), the fee reflects the documentation and appointment support.
Do you handle previously rejected cases?
Yes — this is a specialty. We audit the previous rejection, identify the exact weakness (usually financial insufficiency, weak ties, or a bad cover letter) and rebuild the file. Success rates on rebuilt files remain above 90%.
Do I need to visit your Nashik office?
Preferred for the first consultation, but not mandatory. We handle applicants pan-India via WhatsApp, video call and courier.
How long does a Schengen visa take?
Typically 4-15 working days. In peak season (June-August), up to 4 weeks. We advise applying 30-45 days in advance.
Is travel insurance required for the visa?
Schengen: yes, €30,000 minimum medical cover, mandatory. UK, USA, Canada, Australia: recommended, not mandatory for the visa. We can issue insurance same day.
Can senior citizens apply for a visa without visiting VFS in person?
Most consulates require biometrics, so a physical visit is unavoidable — but some offer home-biometric services at additional cost. We arrange this where possible.
Can you do a same-day Dubai visa?
Yes — under UAE's express service, in as little as 24 working hours, subject to immigration workload. We recommend the standard 3-4 day option unless truly urgent.
What if my visa is rejected?
We debrief you within 48 hours, explain the likely reason, wait the recommended cooling-off period, then rebuild and reapply. Consulate fees are not refundable, but our own reapplication support is often at reduced or nil service fee.
